The IQ Fax Archive Connector for RightFax

Managing the storage of faxes on a high volume RightFax system can be a nightmare for administrators. Retention policies often require that faxes be kept for years, but maintaining a large number of faxes in RightFax can be detrimental to performance – slowing down the RightFax system to the point where it becomes unusable. The best course of action is to get those faxes out of RightFax and archived into a true document management system.

The IQ Fax Archive Connector for RightFax allows administrators to balance fax retention policies with the preferred practice of purging faxes. RightFax can be configured to schedule faxes to be archived after a specific period, and the IQ Fax Archive connector will automatically save a copy of the fax and all its associated metadata into a powerful document management system. Once your fax has been archived, RightFax will purge the fax from its data store during its nightly maintenance period.

Finding a specific fax can be extremely frustrating when using FaxUtil – especially when there are years’ worth of faxes to search through. IQ Fax Archive has a built-in OCR engine that will convert the fax image into searchable text, allowing administrators to not only search on fax metadata – such as Date, Owner, etc. – but also perform full-text searches on the actual content of the fax. This powerful search tool will cut down on the amount of time necessary to find a fax when the need arises.

IQ Fax Archive for RightFax has many other features that one would expect to find in an enterprise grade document management system, including:

  • Smart Routing Capabilities
  • Built-in PDF-compatible Annotation
  • Rules Setting for Automatic Routing and Processing
  • E-Signature, powered by DocuSign

Typically, when you place an order online, you immediately receive confirmation via email that your order was successfully received. Having a reliable way to confirm the successful receipt of an inbound fax can be critical for organizations that transmit time sensitive information, especially those in the healthcare and finance spaces.

Most auto-reply fax solutions rely solely on the Caller Id to provide the information on where to send the auto-reply fax. This was not a large issue when faxes were sent mainly from fax machines connected directly to a phone line. However, with the rise of server-based fax solutions caller id information is not always sent reliably, leading to massive auto-reply failures.

The Advanced Auto-Reply Module gives you the ability to reply to incoming faxes with a personalized, branded template that features a thumbnail image of the first page of the sender’s original fax. This tool ensures a high success rate of outbound auto-reply faxes using complex logic to determine where to send the auto-reply. It uses the following three ways to determine the appropriate number:

  1. The CSID of the incoming fax
  2. The ANI (Caller ID) of the incoming fax
  3. A translation table that maps the CSID of the incoming fax to a valid fax number.

This translation table is the key that makes the Advanced Auto-Reply Module the most powerful solution available. The translation table is automatically populated with the CSID of any failed auto-reply fax. The fax administrator can then add a proper fax number for that CSID. Subsequent attempts to send an auto-reply will then use the translation table to find the correct reply fax number based on the provided CSID. Problem solved.

Due to the recent outbreak of the WannaCry ransomware and other malware based on EternalBlue exploit, customers have been contacting the Advantage Technologies helpdesk asking us how they can better protect their RightFax servers and Fax Gateways. We recommend that all RightFax servers, gateways or SBCs running Windows operating systems be treated as any other Windows Server, with regular OS updates and backups. This includes Dialogic DMG4000 gateways, and Sonus SBC 1000/2000 models with the ASM Module (SBCs without the ASM module have no Windows components and are not affected).

Customers running supported versions of the Windows operating system will have had access to security update MS17-010 (https://technet.microsoft.com/en-us/library/security/ms17-010.aspx) since March. If automatic updates are enabled or the update has been manually installed, their servers are protected. The supported Windows versions are:

  • Windows Vista
  • Windows Server 2008
  • Windows 7
  • Windows Server 2008 R2
  • Windows 8.1
  • Windows Server 2012
  • Windows Server 2012 R2
  • Windows 10
  • Windows Server 2016

We encourage the installation of the update as soon as possible on any Windows operating system vulnerable to the exploit.

Despite being out of support, Microsoft has taken the extraordinary step to release security patches (http://www.catalog.update.microsoft.com/search.aspx?q=4012598) to protect against this vulnerability for the following operating systems:

  • Windows 8 x86
  • Windows 8 x64
  • Windows XP SP2 x64
  • Windows XP SP3 x86
  • Windows Server 2003 SP2 x64
  • Windows Server 2003 SP2 x86

Please contact Advantage Technologies help desk at 212-717-7700 if you have any questions regarding patching your current servers or upgrading to a supported version.

This year, Advantage is celebrating its 20th year in business! The world has changed a great deal over these last two decades. When we first started our company back in 1997, cable modems were an emerging technology, DVD was “the next big thing”, and of course, the paper fax machine was a mainstay of most any office. But as technology advanced, so too did Advantage.

We are proud to still be helping clients from far and wide enjoy the advances in fax server technology as a RightFax Partner and Distributor. We are forever thankful to have a loyal client base without whom all our hard work would be meaningless.

Over these past two decades, as we have helped our clients meet the challenges of securely delivering and storing electronic communications, our customer base has grown considerably along with our reputation. We are proud of the numerous awards and accolades we have won over the years. Most importantly, we greatly appreciate our clients, employees, and partners for their contributions to our continued success.

This 20th anniversary is also an occasion to look to the future because without question, our greatest achievements lie ahead of us. We believe the fax industry, and the technology industry in general, will evolve faster than ever before. And, we at Advantage will happily be at the forefront of the evolution.

Last year, Verzion conducted a research study to find out the motives for data breaches in various industries—healthcare was one of them. According the research report, data breaches in the healthcare industry were more like to be the result of human errors such as stolen assets, miscellaneous errors, mishandling PHI or privilege misuse. Most data breach incidents, 32 percent, were the result of the latter. What should be a major concern for any healthcare organization is the fact that most incidents were discovered by the customer or an auditor, which could mean serious risk exposure that can lead to costly civil penalties and even criminal consequences. There are two key ways healthcare organizations can ensure their data is protected and in compliance with regulatory requirements including HIPAA. The first is simple: educate staff on what their obligations are regarding complying with regulations and policies. The other is to adopt technologies that strengthen the ability to comply with and enforce policies.

Many healthcare organizations are transitioning from traditional stand-alone faxing to more modern, electronic document delivery technologies such as RightFax. RightFax is an automated fax server that operates similarly to an email server by allowing users to send and receive documents from various sources via telephone connection or the cloud.

Healthcare organizations choose RightFax because it helps to eliminate errors associated with manual faxing and enables the delivery of encrypted files via secure email to fax with certified delivery. It also integrates with most vertical applications and EMR systems while leveraging your current infrastructure. RightFax serves to increase data protection, aid compliance efforts, and reduce exposure to risk.

If you're still using an older version of RightFax, you're missing out on significant enhancements that come with the new 10.6 version, especially if your organization does high-volume faxing. RightFax 10.6 includes important enhancements and upgrades related to usability, software support and enterprise grade capabilities— including integration with the latest version of Microsoft Exchange. For Advantage Support customers, the software itself is available for free as part of your support package!

RightFax 10.6 features and capabilities include:

  • Support for New Versions of Microsoft Products
  • Updates for RightFax Connect
  • Ability to Modify Conversion Settings
  • FaxUtil Improvements
  • Increased Functionality for Web Client
  • Improved VPAT / 508 Compliancy
  • Redesigned Enterprise Fax Manager (EFM)

Many organizations depend on hosted and cloud-based technology solutions to help improve their business workflows, reduce paper-related costs, and increase employee productivity. But sometimes real difficulties can arise when integrating cloud-based technologies with business-critical applications like RightFax, the market leader in automated fax server software. In this case, users integrating RightFax with Microsoft Office 365 and Exchange Online, both cloud-based solutions, in order to send and receive faxes directly from Microsoft Exchange/Outlook discover that the integration does not work when using Cached Exchange Mode. To help users address this particularly pesky problem, Advantage Technologies recently developed a unique solution: the Advantage Office 365 plugin for RightFax, fondly nicknamed the “fax hammer”.

For all users, the “fax hammer” seamlessly enables interoperability between Office 365 and the RightFax. Furthermore, there is minimal client configuration and the server-side (i.e. cloud-side) is very similar to OpenText’s documented configuration for the Exchange Connector. But here’s the best part: the solution requires zero action on the part of the user since the plugin triggers when the user hits send. It’s that simple!

Advantage Technologies was recently named the 2015 Global IX VAR of the year! The award recognizes Advantage Technologies for their top performance in Information Exchange, one of the five key pillars of the Open Text Enterprise Information Management (EIM) strategy that includes RightFax, Fax2mail, RightFax Connect, Secure Mail, and Secure MFT solutions. OpenText awards partners each year in a variety of different categories, celebrating their outstanding achievements and commitments in providing OpenText EIM solutions to customers around the world.

“We appreciate the recognition of the OpenText IX VAR of the Year award”, said Barry Malter, President of Advantage Technologies, “Our sales and support teams understand that creating long term customer relationships where we provide a high value proposition, and a commitment to customer service, is paramount to our success. I think 2016 will be another strong year for our company as major changes in the Open Text Partner program were recently announced that de-authorized most RightFax OpenText partners. While Advantage Technologies continues to be an OpenText Platinum ASP Partner, we are nevertheless proactively adding to our staff to ensure we can continue providing the level of service our customers and partners have come to expect from us for almost 20 years.”

Fax is an effective channel of communication for business; more often than not, it is usually part of a larger workflow. Received faxes need to
be imported into some line-of-business application, say an EMR system or a document management application, to be processed. Quite often, matching a fax
to the correct record in the application is a manual process, making the correlation of data expensive and prone to user error.

What’s the alternative? To automate this process, some might think that a customization of the import routine would be the way to go, requiring extensive custom developmentto implement your specific business rules. This can be expensive and rigid, requiring the rewriting of code should your line-of-business application need to be upgraded or your business rules changed. It would be preferable to do as little custom coding as possible, and use off the shelf modules and software to automate the process. Leveraging the add-on modules of RightFax will allow us to automate this process, while writing very little custom code.

Let’s say that it is necessary to provide an account number to your line-of-business application to be able to automatically match an imported fax to a specific account. Also, let’s suppose that there is a database that contains both the account number and the account’s related fax number. The simple solution would be to look up an account number based on the caller id for a received fax before it is imported into an application, and provide that account number to the import process.

Let’s see how.

First, we can use the RightFax XML Generator Module to write both the body of the fax and some metadata to a specific folder (call it the XML INBOX). The XML Generator allows us to customize the output of the metadata, choosing the information that we need. Let’s say we want the DID (the inbound fax number,) the ANI (caller ID) and image filename to be included in the metadata.

Second, we configure an input in the RightFax Integration Module to monitor the XML INBOX folder and perform an action on any XML file that it finds. Here’s is where we do some custom development. I would suggest writing a simple PowerShell script that performs the following steps:·

  • Open the XML file
  • Reads the ANI
  • Runs a SQL query to lookup the related account number
  • Writes the account number back into the XML file
  • Moves the image file and the XML file to another folder for importing (call it the IMPORT INBOX)

Finally, a second input is created in the Integration Module to monitor the IMPORT INBOX folder and to run the command to import the fax into the line-of-business application, using the account number that has been added to the XML file.

All told, you are looking at about 50 lines of custom code. This mans there is little risk to automating this process. If the process needs to change, all that is necessary is to update your PowerShell script.

The previous example illustrates the power and flexibility of leveraging a few of the add-on modules to automate steps in your overall business process workflow, saving your usiness time and money. We enjoy working with our clients to understand how fix fits into their business as a communications channel, and provide suggestions on how we can help streamline their workflows, leveraging their existing RightFax investment to help them succeed.

Our offices will be closed this Thursday, November 26th in observance of the Thanksgiving holiday. There will be no RightFax support*on this day. We will return to regular support hours on Friday, November 27th.

*Our customers with 24/7 Support are able to request support if they experience a RightFax Production Emergency. If you have a 24/7 support plan and are experiencing a RightFax emergency, please call the 24/7 support number that was provided to you (it can be found on the RightFax Support Certificate).

Things are shaking up at OpenText. In an effort streamline the sales and support experience for customers, OpenText has made some considerable changes to their partner channel. Many RightFax partners have been terminated, therefore losing their ability to sell and support RightFax and RightFax Connect Cloud solutions. Many of these former partners are now selling their direct “best effort support” with no upgrade entitlements or escalation capabilities to OpenText. In addition, Advantage is currently working with some Partners to move their RightFax clients to Advantage ASP RightFax Support from our North American helpdesk, with all OpenText entitlements. We welcome the opportunity to work with your company to provide ongoing RightFax support and service.

Advantage Technologies Inc. remains an active OpenText Information Exchange Platinum ASP partner in North America. Recent announcements regarding changes to the OpenText Global Partner Program have adjusted the way in which we will work with our partners go forward. While some partners will be impacted by these recent changes, Advantage will continue to be a valued member of the OpenText Global Partner Program.

OpenText is focused on continuing to drive strong value added relationships within the partner community. Advantage is continuing to sell and provide ASP support for the RightFax solution.” Jennifer Kerr, OpenText, Director Global Partner Programs
